Student Athlete Committee
S.A.C.
Bylaws, 2008-2009
Purpose:
To serve
as a liaison between the student-athlete population, athletic department,
Midlands Collegiate Athletic Conference, and the National Intercollegiate
Athletic Association on issues facing the overall welfare of the collegiate
student-athlete. To encourage
involvement in all programs within the athletic department and campus
environment, through empowering and educating student-athletes at the College of Saint Mary.
Executive Committee Structure:
- The executive committee will
consist of three athletes at all times, each from different sports.
- Executive committee members
should be either a Junior or Senior.
- The three members of the
executive committee will share equal responsibility, as well as decision
power within the committee structure.
- Executive committee members
will serve for at least one (1) full year, not to exceed more than three
(3) years. Additionally, the
following will hold true:
1.
At
the end of the term an executive committee member may resign from the committee
or remain as a senior executive member (i.e. resulting in two (2) years on the
executive committee). If the
student-athlete decides to stay on for two (2) years their executive eligibility
will be over and they will not be allowed to hold an executive committee
position again.
2.
Student-athletes
who decide to not serve on the executive committee a second term can retain a
position on S.A.C. as a team representative.
3.
Nominations
for the executive committee will take place at the second to the last meeting
(usually in April) of the year in review.
In order to be nominated student-athletes must have been a
representative at least one (1) year in order to run for an executive committee
position.
4.
Voting
will occur at the last and/or second to last S.A.C. meeting of the year
(usually in May) of the year in review.
5.
Voting
will be done by the existing S.A.C. committee, thus allowing each team two (2)
votes. Note: This will not include
the Executive Committee Members vote.
Only the two representatives will be allowed to vote.
6.
Minutes of each meeting will be kept and sent by
email to all members, the athletic director and the ex-officio representative
from the athletic department
7.
The ex-officio representative from the athletic department
will be the assistant athletic director who will not be a voting member.
- The executive committee will
meet one week prior to the S.A.C.
Meetings will be set at the beginning of the semester and remain
consistent throughout the course of the year. These meetings are held to brief the
executives on administrative and MCAC issues, as well as the creation of
the agenda for the following week.
Member Criteria:
- Each team must have two (2)
representatives (preferably one (1) upper classmen and one (1) under
classmen).
- Each team can have no more
than two (2) voting members.
- Each team will decide how the
two (2) representatives are selected.
- Team representatives must be
able to serve one (1) full semester.
- Each member must maintain a
2.0 Grade Point Average (G.P.A.) or higher.
- Executive Board members not
included in two team representatives.
Meeting Schedule:
- The day and time for the
first meeting of the semester will be the same as the regular meetings of
the previous semester (i.e. First Monday of every month).
Voting:
- Voting will be done at the
time of the meeting in which case all teams must have a representative
present.
- If representatives for a
particular team are not present to vote, there will be an
e-mail issued describing the vote in account. The representatives receiving this
e-mail will have until the end of the week the voting to
place in to respond.
Note: The voting process listed above will only
hold true if the entire sports team is traveling and unable to send an
alternate representative in the place of the designated representatives.
Amendments:
- Amendments can be made to the
bylaws by a 2/3 vote of the entire S.A.C.
- There must be representation
from every sport for a vote to take place.
Guests and Visitors:
- Guests and visitors are
welcome to attend, however must be added to the agenda prior the meeting
with the entire S.A.C.
- Guests and visitors are not
allowed to participate in the meetings until they are recognized by the
committee, as well as the floor being opened up to them.
Note: Student-athletes who attend in addition to
the designated team representatives are welcome at S.A.C. meetings, however
will be seen as guests. These additional
student-athletes will be privileged to the material being presented only, thus
excluding them from rights of the designated S.A.C. members (i.e. voting,
refreshments, and overall decision making).
Subcommittees:
- There will be at least four
(4) subcommittees unless determined otherwise by the Executive Committee
at the beginning of the semester.
The committees existing are as follows: Student-Athlete Welfare, Fan Support,
Flames Events, and Community Service.
The subcommittees will be charged to complete the following:
1.
Student-Athlete Welfare - Assist in the suggestions and revisions of the existing
bylaws. Actively participate in MCAC and
NAIA regulation discussions.
2.
Flames Events - Assist in the promotion of events within the community and athletic
department. Assist in the organization,
set-up, and clean-up of events. Actively
participate in events when schedule permits.
3.
Fan Support
- Assist in planning Flames Frenzy events.
Each team will have one (1) home event in which Flames Frenzy will be
celebrated. As a committee member, you
will be in charge of two (2) Flames Frenzy events, to include the planning,
set-up, serving, clean-up, as well as attending the event.
4.
Community Service - Assist in the planning of community outreach events. Assists in the recruiting of fellow
student-athletes, as well as participating in events within athletics and the
community.
- Every member of the S.A.C.
must be on a subcommittee.
Additional Clauses:
- Bylaws - Reviewing of bylaws will
take place at the beginning of each semester to allow any issues or
concerns to be addressed regarding there implementation and enforcement.
- Absences - Any team representative
that misses more than one S.A.C. meeting in a semester, failing to send an
alternate will be excused from duty effectively immediately. If a representative is excused from the
committee, then a new member must be appointed by that team in his/her
place.
